Almost every business has people who spend hours at their computers every day doing the same things: moving data from one system to another, answering the same customer questions, compiling reports, processing orders, corresponding with suppliers. The owner can see the team is overloaded, but **hiring another qualified manager is difficult and expensive**.

I want to show why this work is already largely automatable today, what it looks like in practice, and where to start.

## Any job has repeatable steps

Even work that requires thinking is made up of repetitive actions. A sales manager asks customers for the same parameters every time, looks up the product in the database, checks availability, prepares a quote, and enters the deal into the CRM. *A person makes the decision, but most of the steps around that decision are the same.*

And where there is repetition, a process can be automated. In the past, this required rigid scripts that broke at the slightest change. Modern **AI agents** work differently: they read text, understand context, use tools, and can carry a process from start to finish, stopping where a human decision is needed.

## Agents can use a computer

One of the main reasons modern agents are so productive is that they can work with a browser and control a computer. They aren't limited to running individual scripts. An agent can open a website, log in to a system, click the right buttons, fill in a form, move data between tabs, download a file, and check the result, just as a person would.

For a business, this means you **don't need to rebuild existing processes or change the tools you're used to**. The agent integrates with what you already use: CRM, accounting system, email, spreadsheets, supplier portals. Even if a system has no convenient API, the agent can work with it through the regular interface.

## My experience: from 1–2 to 5–8 tasks a day

I'm a **Senior Software Engineer** with over 9 years of experience, currently working at Apple as an engineer for a contracting company. Most of my workday was made up of bugs: reading the task, finding the cause among dozens of applications, reproducing the problem, fixing it, opening a pull request, waiting for checks, responding to comments, and handing the task off to testing. Plus constant threads in the work chat.

Over several months, I built what I call an **agent harness** around this process: a system based on Claude Code that describes exactly how I work. It consists of about 60 written instructions (*skills*) for the agent, connections to the task tracker, work chat, browser, and CI, background scripts for routine steps, and a dashboard that shows the state of each task.

Now it looks like this. I start a task with a single command. The agent reads it along with the screenshots and video recordings, finds the cause in the code, **reproduces the problem live in a browser**, and prepares a report with evidence. I say "go." The agent makes the fix, verifies the result itself in the browser with screenshots, opens a pull request, monitors the checks and reviewers' comments, and after the merge returns the task to the tester. It only prepares messages to colleagues as drafts: *I always send them myself*.

**The result:** my productivity has grown from roughly **1–2 to 5–8 tasks a day**, depending on complexity, because several such processes can run in parallel. The tools keep improving, so this is most likely not the limit.

The most important takeaway for me wasn't technical.

> **The bottleneck was never the writing of code itself. It was all the work around it.**

And this applies to far more than software development.

## The same thing works in any office

If you replace "bug" with "customer request" and "pull request" with "commercial proposal," you get the process of almost any company. Here are examples of computer-based work that can be largely automated:

- **first contact with a customer**: collecting the request, clarifying details, answering typical questions;
- **order processing**: checking availability, placing the order, entering it into the accounting system;
- **working with data**: transferring it between spreadsheets, the CRM, and accounting, finding errors;
- **supplier communication and logistics**: requests, confirmations, status tracking;
- **reports**: daily and weekly summaries that someone is currently compiling by hand.

One of my clients sells tires. His main problem will be familiar to many: there aren't enough managers, and qualified people are scarce on the market, so some customers don't get a timely reply. We don't plan to replace the managers. Our goal is to take the routine off their plates: collecting the request, selecting tires by parameters, checking availability, preparing the quote. Then the same manager can handle more customers, and their time goes to conversation and decisions rather than copying data.

A separate area that is developing very fast right now is **conversational agents**: an agent you can talk to by voice and, in some solutions, also see as an interactive avatar. Such an agent is well suited to the first line: greeting the customer, collecting information, answering typical questions, and handing a person an already prepared request. When you can see and hear a system, people accept it more easily and better understand what it is doing. These interactive agents are what we work with at **OPV Systems**.

**Hybrid teams** are appearing more and more often, where AI agents fill some roles and people fill others, and they work in tandem. In such a team, the agent doesn't just follow instructions but takes part in the process as a colleague: it prepares, checks, reminds, and hands work on.

## What automation looks like in practice

Every business is unique, and there is no ready-made, out-of-the-box solution. But the approach is consistent:

1. **Look at how the work is done now.** It works best when a person simply shows their ordinary day: what they open, what they copy, who they write to, where they wait.
2. **Break the process into steps** and find the ones that repeat most often and take the most time.
3. **Automate one step at a time.** Instead of a big system delivered after six months, it's better to add small "bricks" and show results right away. That way progress is visible from the first weeks, not at the end of the project.
4. **Keep a person in the process.** The tool should show what stage it is at, what it is doing, and what result it is delivering. The employee monitors the process and steps in where their decision is needed.
5. **Train the team.** A well-configured tool is easy to use and built for the team's specific requirements, so anyone can learn it.

Some tasks are automated in a week, others take a month or several months. It depends on the process and the systems you need to work with.

> The goal is not to get rid of people. The goal is for **one employee to be able to do the work of several** without being overloaded.

## What about data?

This is the first question any owner asks, and the right answer depends on the company.

- **Cloud models** (for example, Anthropic or OpenAI) offer the best quality and speed. On business plans, providers offer terms under which customer data is not used to train models. The specific terms should be checked for each provider.
- **Local models** run on the company's own server, and the data never leaves the office at all. There are many open models now (for example, Qwen, Gemma, gpt-oss), and each handles different tasks better. For a business that needs complete confidentiality, you can build your own AI server, a small "mini data center" in the office.
- **A combined option**: sensitive data is processed locally, and everything else goes through cloud services.

## Limits

I'm talking specifically about work done at a computer. Physical processes (production, warehousing, delivery) are a separate field. But around them there is almost always a lot of computer work: orders, documents, communication, bookkeeping. And that is where time is most often lost.

Also, **not everything should be fully automated**. Decisions a person is responsible for, and conversations where trust and empathy matter, should remain with a person. An agent can prepare everything for such a conversation, but it shouldn't conduct it in place of a person where it matters.

## Where to start

Try a simple test: ask everyone on your team to write down what they did at the computer over the course of one day and mark the actions that repeated. Most often, this list contains the first candidates for automation.

If you see that your team is stuck in operations and want to understand what can be automated, write to me or [book a call](https://opvsystems.com/booking). We'll go through your processes and see where to start.

Automating Business Processes with AI Agents: Where to Start

## Introduction

The rapid evolution of artificial intelligence is changing how we work, create, and interact. For OPV Systems, it’s not about replacing people, but about enhancing human potential. Our mission is to build technologies that make people smarter, faster, and more creative. This vision is central to both our business and the future of work globally.

## 1. The Evolution of Human and AI Collaboration: From Tool to Partner

Initially, AI was perceived merely as a tool for automating routine tasks. However, modern AI systems have become true partners—they not only execute commands but also co-create, generate ideas, and assist in decision-making. I experienced this transformation when AI became not just a "helper" but a full-fledged participant in the workflow, from code generation to project support at all stages. This allows humans to focus on creativity, strategy, and development rather than routine tasks.

## 2. Human and AI Collaboration: Synergy, Not Competition

The true power of AI is revealed when it works alongside humans. As Pavel Osipov notes,

> "AI is an evolutionary extension of humanity, an enhancer, not a replacer."

Those who master AI tools today are exponentially more productive than others. The goal is not to replace 9 out of 10 workers but to enable 10 to work as effectively as 100. Real-world examples show that when teams integrate AI, even less experienced members significantly enhance their effectiveness.

## 3. Human-Centric AI: Principles and Ethics

At OPV Systems, we ask, *"How much humanity is in your AI?"* Our approach is to build on an individual's original personality: habits, communication style, dreams, and beliefs. Human-centric AI is about psychological comfort, trust, and user control. The letter "O" in OPV stands for "Original"—reflecting our commitment to authenticity and emotional presence.

## 4. When Humans and AI Work Best Together

AI excels at routine, repetitive, and voluminous tasks, freeing humans to focus on creativity, empathy, and strategic decision-making. The greatest results arise when human intuition and AI efficiency combine—in development, customer support, or personal growth. However, AI alone cannot replace the nuances, ethics, and emotional intelligence of humans.

## 5. Scaling Human Potential Through AI

With the right tools, one person can achieve what previously required an entire team. Automated AI agents plan, write code, create documentation, and even conduct reviews—as in Pavel's own workflow. This model can be applied across various fields, allowing businesses to grow not by downsizing but by multiplying opportunities and creating new roles alongside AI.

## 6. Economic Impact and Social Responsibility

Integrating AI is not just about cost reduction. It is a pathway to creating new jobs, opening new markets, and enhancing company competitiveness. As my experience and that of my partners show, automation allows not only to replace part of the team but also to create additional jobs and double productivity for the same costs. Social responsibility lies in not displacing people but helping them develop and scale their own talents alongside AI.

## 7. The Future: Humans at the Center of the Digital Age

In the next 5–10 years, agents will automate routine tasks, but humans will remain central as creators, controllers, and innovators. Human-centric AI will become as commonplace as the internet is today. The most valuable skills will be creativity, curiosity, and a thirst for experimentation. Those who embrace AI as a tool will succeed; those who do not risk being left behind.

## 8. Conclusions: The Scalable Human—The New Standard of the Future

The future of work is not competition with machines, but partnership. A human empowered by AI can scale their influence, creativity, and productivity exponentially. This is not a trend but a new standard for the future, where technology serves humanity, not the other way around. It is important not to fear change but to leverage it for personal and collective growth.

Why Human + AI is Stronger than Just AI

## Problem and Personal Experience

Most companies that avoid integrating artificial intelligence (AI) risk losing their competitive edge. My experience in developing AI platforms shows that mastering AI is not just about reducing costs and speeding up processes, but also about the survival of the business. Today, tasks that used to take weeks are completed in minutes thanks to AI. My own practice proves that integrating even simple AI tools (such as content generation or automating routine tasks) yields a significant increase in productivity.

## Why Companies Avoid AI: Barriers and Prejudices

According to a MIT study (2025), despite the mass emergence of tools like ChatGPT, most companies either postpone or approach real AI integration very cautiously. The reasons for this phenomenon include:

- **Data Security** — fear for the preservation of confidential information.
- **Bureaucracy and Lack of Motivation** — the complexity of agreeing on changes in large organizations.
- **Insufficient Adaptability of Solutions** — most AI systems do not learn from feedback and are not integrated into real workflows.
- **Weak User Support** — interfaces and user experience often lag behind familiar tools.
- **Lack of Clear Implementation Goals** — companies do not know how to measure AI effectiveness.
- **Human Factor** — reluctance to engage with something new or fear of losing control over processes.

## Solutions to Data Security Issues

Many companies postpone AI integration due to concerns about confidentiality. However, today there are solutions that allow for full control over data:

### Local Large Language Models (LLM)

Modern neural networks can operate entirely locally, without sending data to external servers. Three examples of such solutions:

1. **GPT OSS** — an open ecosystem of models that can be deployed on own servers.
2. **Llama 2/3 (Meta)** — powerful open-source models for local use.
3. **Mistral AI** — a European alternative focused on privacy and performance.

These solutions allow:

- Full control over your data.
- Not sharing confidential information with third parties.
- Customizing AI to meet business needs.
- Complying with strict security and compliance requirements.

Additionally, companies can negotiate with AI service providers to achieve maximum data localization and tailored confidentiality terms.

## MIT Study: Key Findings

In the last three years, over 80% of companies have tested AI tools, but only 5% have reached large-scale integration into production processes.

- Successful cases are narrow, specialized solutions that learn, adapt to context, and integrate into existing processes.
- The highest ROI is achieved not in front-office but in back-office processes (document automation, finance, customer support).
- “Shadow AI Economy”: employees massively use personal ChatGPT or Claude accounts when corporate tools do not work or do not meet needs.

## Why Action is Needed Now

Three years have passed since the emergence of ChatGPT, and today the AI market is rapidly expanding. Dozens of new tools have appeared, and competition among companies implementing AI is only increasing. If you have already started integration — now is the time to ramp up. If not yet — now is the best moment to start. The benefits of AI have become obvious: those who experiment gain competitive advantages, while those who hesitate risk falling behind.

## How to Overcome Barriers

- Start with small routine tasks — delegate simple automation to AI.
- Choose solutions with learning and integration capabilities — systems must adapt to your processes.
- Involve employees — give them the freedom to experiment with AI.
- Assess effectiveness not only by visible metrics (marketing) but also by hidden benefits (back-office).
- Do not fear partnerships — external solutions are often more effective than internal developments.
- Develop AI literacy within the team — this is becoming a key competitive advantage for the business of the future.

## New Approaches to Implementation: Market Experience

MIT analysis showed: companies that successfully integrate AI act as partners, not just buyers. They:

- Demand deep customization for their processes.
- Evaluate tools based on business outcomes, not technical specifications.
- Enable line managers and teams to implement AI from the bottom up, not just through centralized solutions.
- Are open to external partnerships and quickly scale successful pilots.

## Conclusions and Personal Position

AI is not a temporary trend but a tool for survival and growth. Those who are not afraid of experiments, learn alongside the systems, and focus on real business processes will win. The key is not to chase loud cases but to find your point of efficiency. For those who have not yet started — it is time to act now. For those already in the process — it is time to scale and invest in the training of systems and people.
